Pre-employment requirements every graduate should have

Applying for legal documents can be such a pain. There are many documents and IDs you need to submit, in addition to preparing for qualifying tests and interviews. And for fresh graduates who are relatively new to the real world, it can be overwhelming. However, if you come prepared—say, with your basic documents—it'll make the process a lot easier.

While each company has its own unique requirements, most companies in the Philippines will ask you to provide basic forms and IDs issued by the government. To help you get started, below are the essential documents you must get your hands on that employers may ask of you when applying for a job.

NBI Clearance 

A clearance issued by the National Bureau of Investigation is a legal document ensuring that an applicant is free from any criminal record and may be used as proof of identity during job applications. It contains personal information such as name, address, date and place of birth, and the date of issuance. The NBI Clearance is only valid for one year. 

The list of requirements includes: 

  • Valid Identification Cards (IDS) 
  • NBI Clearance Online Appointment 
  • Personal Appearance in NBI Clearance Branch 

To apply for an NBI Clearance, go to the official website of NBI Clearance Online. Create an account if you haven’t yet.

Key in all the required information in the application form. Make sure that every detail is correct. Save your information and click the “APPLY FOR CLEARANCE” button. 

When a pop-up window appears, select your chosen valid ID to be presented during your application. Valid IDs include: 

  • Valid Philippine Passport 
  • Voter’s ID 
  • Driver’s License 
  • PRC License 
  • SSS ID 
  • GSIS UMID 
  • Postal ID 
  • School ID 
  • TIN ID 
  • Philhealth ID 
  • Authenticated Birth Certificate 
  • Alien Certificate of Registration 
  • Senior Citizen 
  • Previous Copy of NBI Clearance 
  • Philippine National ID or PhilSys ID 

When scheduling an appointment, choose your preferred NBI Branch, time, and payment method. Take note of your reference number because this is necessary during the payment process. 

Tax Identification Number (TIN) 

Taxes are compulsory contributions to the government. As you transition to bein an earning individual, it’s necessary to secure a personal identification number from the Bureau of Internal Revenue (BIR)

The TIN card is free of charge, and unlike NBI Clearance, TIN cards do not have an expiration date.

The list of requirements includes: 

  • Any identification issued by an authorized government body (e.g. Birth Certificate, passport, driver’s license, Community Tax Certificate) that shows the name, address, and birthdate of the applicant; 
  • Marriage Contract (if applicable) 
  • Passport (for alien employees) 
  • Working Permit; or Photocopy of duly received Application for Alien Employment Permit (AEP) by the Department of Labor and Employment (DOLE) 

But take note, this shall be accomplished within 10 days from the date of employment. 

After collating all your documents, follow these procedures, accomplish BIR Form 1902; submit it together with the documentary requirements to your employer. 

Let your employer accomplish the applicable sections of the application form. 

Lastly, submit BIR Form 1902 to the Revenue District Office (RDO) having jurisdiction over the place of office of the employer where such employee is expected to report for work.

Social Security System (SSS) 

The SSS provides financial protection for Filipinos in case of death, maternity, disability, retirement, and more. 

The first thing you must do is apply for an SSS Number. You must accomplish all fields correctly. Remember, do not forget to double-check! 

After receiving an email, continue keying the necessary information. Click “Generate SS Number,” print the form, SS Number Slip, and Transaction Number Slip.

Wait for an activation link for your My.SSS account in your email, including a list of requirements. After securing all the necessary documents, you may now head to the nearest SSS branch and present them together with the transaction number slip.

Lastly, proceed to UMID Card Enrollment once the E-Center Personnel instructs you to do so.

Pag-Ibig

Your Pag-IBIG Membership Identification (MID) Number is your ticket to housing loans and lot purchases. 

You can apply through the Pag-IBIG Fund website by simply filling out the pre-registration form and accomplishing the security measure by entering a set of codes.

Proceed to fill out the Online Membership Registration Form, which is divided into eight categories: 

  • Member Information 
  • Other Information 
  • Address 
  • Contacts 
  • Heirs 
  • Member Category 
  • Employment History 
  • Summary 

Be fully certain that every detail is correct before clicking submit. The next thing to do is to print the Member’s Data Form (MDF). 

After two working days, you can send a text message to request a permanent Pag-IBIG MID number in this format: 

IDSTAT (space) your Registration Tracking Number (space) your Birthdate (MM/DD/YYYY). 

Send your message to (0917) 888-4363 for Globe and TM, and (0918) 898-4363 for Smart, TNT, and Sun. 

PhilHealth 

The Philippine Health Insurance Corporation or PhilHealth offers various health-related assistance, including hospitalization and medical emergencies. 

Fortunately, access to PhilHealth is as easy as 1,2,3! 

For freshly hired and existing employees without a PIN, fill out two copies of the PhilHealth Member Registration Form (PMRF), submit it to your employer’s HR Department, and once the processing of the registration is completed, claim your Member Data Record and PhilHealth ID card to your employer.
